FAQs for Exhibitors

Q: When is the remaining balance due for my booth?

A: The remaining balance is due by January 15, 2010.

Q: What is included in my booth cost?

A: The booth cost includes your booth space and the number of badges designated with your size booth (3 badges with a 10x10 Booth). Identification signs will also be provided

Q: Can I purchase extra Exhibitor Badges?

A: Yes. Extra exhibitor badges are $75 until registration closes. Any extra badges purchased after registration closes or onsite will be subject to additional fees.

Q: When do I order carpeting, electricity, lead retrieval, and other items for exhibiting?

A: Freeman is our event decorating company and you can order any items needed for exhibiting through them. Freeman will be sending out a packet of information to all exhibitors shortly including the order forms. You will also be able to order items through their website.

Q: How do I reserve hotel rooms for the conference?

A: Our housing agency will be sending out information on hotels and the forms that your company will need to send in shortly. To avoid confusion please do not contact the hotels directly.

Q: When are the Exhibit Hall hours?

A: The Grand Opening of Exhibits will be on Saturday, April 17th from 5:30 to 8:30 p.m. On Sunday, April 18, the Exhibit Hall will be open for lunch from 11:45 to 2:15 p.m. On Monday, April 19, the hall will again be open a lunch time session from 11:45am to 2:15pm.

Q: When is the booth set up and take down?

A: All booths must be set up no later than 12:00 p.m. on Saturday, April 17th. The exhibits will close on Monday, April 19, at 2:15 p.m. All booths must be dismantled after that time and not before.

Q: Can exhibitors attend the SAWC sessions?

A: Exhibitor can attend the SAWC sessions as long as there are seats available. Exhibitors will not be able to get credits for attending the sessions unless they have also registered as an Attendee.

Q: Are there any height restrictions to exhibiting?

A: The ceiling height is 24 feet. No hanging sign or booth display may exceed 8 feet in height, with the exception of the island booths and perimeter booths, which cannot exceed 12 feet in height.
*Only island booths are permitted to have hanging signs and those signs cannot exceed 20 feet in height.

Q: Can exhibitors conduct interviews or surveys?

A: Yes, but we ask that all exhibiting companies respect the other exhibitors by staying within their assigned space. Any interviews, surveys, demonstrations, and distribution of literature must be conducted within the booth area assigned. Any and all educational activities must be delivered by headsets so the other exhibitors are not disturbed.

Q: Can I serve food or beverages at my booth?

A: Exhibitors must consent with HMP Communications, LLC before serving any food or beverages.
